Account Deletion Policy

This Account Deletion Policy explains how You can delete Your Account and the Personal Data associated with it, what We delete, and what We may be required to retain. It supplements and should be read together with our Privacy Policy. Capitalised terms used in this Policy have the meaning given to them in our Privacy Policy.This Policy applies to the Bitprop application and to any Account You create or sign in to within it. We handle Personal Data in accordance with the Protection of Personal Information Act (POPIA) and retain it only for as long as We have a lawful basis to do so. What We are able to delete depends on whether You have an active agreement with Us. The two situations are described below.
How to Request Deletion
You can request deletion of Your Account, or of specific Personal Data by contacting Us at info@bitprop.com from the email address associated with Your Account, or on +27600426777 (WhatsApp) from the WhatsApp number associated with Your Account. Please include the name and [[email address / phone number]] linked to Your Account so that We can verify the request. We may ask You to confirm Your identity before We proceed.
If You Have Applied but Are Not Yet a Bitprop Client
If You created an Account to apply for a Bitprop product but We do not have an active agreement with You — for example, where Your application is still in progress, has been withdrawn, or was unsuccessful — We will delete Your Account and the Personal Data from Your application in full upon request. We may retain a minimal record that an application was made, together with its outcome, for up to 12 months in order to prevent fraud and duplicate applications.
If You Are an Active Bitprop Client
If You have a signed agreement with Us, Your Account and records are connected to that agreement and to legal obligations that We are required to meet. For this reason, We cannot delete them while the relationship is active, in the same way that a financial institution cannot erase Your records while Your account remains open. While Your agreement is active, You may still request that We delete specific Personal Data that is not required to perform the agreement or to meet a legal obligation (for example, a profile photo, optional contact details, or marketing preferences); and request that We correct or update Your information at any time. Ending the relationship itself is managed through Your agreement rather than through the Service. Once the agreement ends, We will delete Your Account and Personal Data and retain only those records that We are legally required to keep, as described below.
What We Delete
When We action a deletion request, We permanently remove the Personal Data associated with Your Account from Our active systems, including: Your profile and Account details, such as Your name, email address, phone number, and login credentials; Your preferences and settings within the Service; Usage Data associated with Your Account identifier; and Any other Personal Data Your app collects. Deleted data is also removed from backups on a rolling basis, generally within 90 days. Where a Service Provider processes data on Our behalf, We delete it from Our systems and request that the Service Provider does the same.
What We May Retain, and Why
For active and former clients, certain information cannot be deleted upon request, because We are required by law to retain it or because We need it to meet Our contractual and legal obligations. We retain only what is necessary, and delete it once the applicable retention period has ended. This may include: Financial and transaction records, such as payments and rent-to-own ledger entries, retained to comply with South African tax law; Signed agreements and contracts, retained for the duration of the agreement and any applicable statutory period; Identity and verification records where FICA/KYC checks apply; Records relating to a dispute, claim, or investigation, retained until the matter is resolved and any limitation period has passed; and Anonymised or aggregated data, which no longer identifies You and may be retained indefinitely.This is consistent with the Retention of Your Personal Data section of our Privacy Policy.
How Long Deletion Takes
We aim to acknowledge Your request within 3 working days and to complete it within 30 days. Where a request involves records that We are required to retain, those records are deleted at the end of the applicable retention period rather than immediately.
